Host Your Own Group Cruise
The people side of leading a cruise — from first announcement to farewell drinks.
Start My Hosted GroupSo You Want to Host a Cruise
If people already ask you to organize trips — club members, friends, your congregation, your clients, followers of your work — hosting a cruise may be a natural next step. It is rewarding, and with the right booking support it is manageable.
The logistics of a group block (how many cabins, rates, deposits, release dates and payment deadlines) are covered in detail on our sister site Group Cruise Planner. This page focuses on the host’s side: the people part.
The Host’s Planning Steps
- Define the trip. Who is it for, what is the theme, and what will make it different from booking alone?
- Pick the sailing with your guests in mind. Length, budget, departure port and ship style all matter.
- Work with one booking advisor. Let them set up the group, handle payments and track deadlines.
- Plan two or three signature events. A welcome gathering, one special dinner or excursion, a farewell.
- Communicate clearly and often. One announcement with all the facts, then reminders before each deadline.
- Host on board. Be visible, keep a daily check-in time, and let people enjoy their own plans.

Questions From New Hosts
Can I travel free if I host a group?
Sometimes. Cruise lines may offer group amenities such as a tour conductor credit once a group reaches a certain size. Whether it covers your cabin depends on the line, the sailing and how many cabins your group fills.
Do I have to collect money from my guests?
No, and it is better not to. Each guest pays for their own cabin through the booking advisor. Any separate program fee you charge should be clearly explained and kept apart from the cruise fare.
What if my group is small?
Even a handful of cabins can sail as a hosted group. Group terms depend on the cruise line, so ask early.
Your Host Kit
Experienced hosts carry a small kit: a printed guest list with cabin numbers, a one-page schedule for each guest, name tags for the welcome gathering, a few spare copies of the all-aboard times for each port and the contact details of the booking advisor. On the ship, find the group coordinator or guest services early on the first day to confirm reserved spaces and dinner arrangements.
